Student 1:1 Device Leasing

To support our dynamic use of technology in the classroom, all First Year students benefit from a standardised device provided through a leasing scheme. Each student receives a Microsoft Surface Go 4, pre-configured with the software and settings needed for learning at KGS. This ensures a seamless, consistent experience for students and enables staff to make the most of digital tools in teaching and learning.

Microsoft Surface Go 4

KGS has opted for Microsoft Surface devices for both students and staff over recent years, and the Surface Go 4 is the latest version of the model. 

This device can operate as either a laptop (as in the image above), or the keyboard can be detached to provide a tablet-type device for more mobile working and video capture. The stylus can be used on the device in both modes and provides a truly flexible device for the demands of students in the classroom. This is particularly important for mathematical annotation or scientific script but also allows for annotation of text and diagrams across all subjects. 

With around 12.5 hours of battery life on a full charge, students should be able to work cable-free throughout the school day – although there will be plenty of opportunities to recharge devices if they have forgotten to do so the night before. 

The device will also come with the necessary accessories to ensure students can engage with all the features of the device, while also keeping it safe and secure. 

For peace of mind, the devices will be managed centrally by KGS for the purpose of software installation and management, together with having the School’s internet filter pre-configured ensuring students are protected from harmful and inappropriate content regardless of where they are accessing the internet from. 

The device will be provided to students on their induction day along with the following accessories: 

  • KGS-branded carry case
  • Stylus
  • Screen protector already applied 

In addition to the items provided above, some parents may wish to purchase further items to support students at home and these items are widely available: 

  • Mouse
  • Keyboard 
  • External monitor 

It will also come with Windows 11 preinstalled together with some of the most useful productivity applications: 

  • Word
  • Excel
  • PowerPoint
  • OneNote
  • Teams 

Updates and additional software applications for individual subjects will be automatically installed as required at no additional cost. 

The management device software provides the following benefits: 

  • Managing the internet filter on the device itself ensures all internet activity can be monitored regardless of the location.
  • Classroom controls ensure students are unable to get distracted by inappropriate activity.
  • Additional settings can be applied remotely without the need for students to work through technical information.
  • Software applications can be updated automatically, and new applications can be installed remotely. 

The cost of the device under the three-year lease is currently £90 per term. For the first term only, the cost is £147 to cover the accessories listed above. All prices include VAT. While we are not yet able to confirm the exact cost for the 2025/26 academic year, we will aim to keep it as close as possible to this year’s pricing.

1. What happens if the device stops working? 

All devices are covered under warranty for the term of the lease. Once your child reports a fault, they will be issued with an identical loan device while theirs is being repaired. If it cannot be repaired, then they will be provided with a new device. 

Please note that the warranty covers defective hardware elements of the device and does not cover accidental damage, damage through incorrect use or damage caused to the screen. 

2. What happens if my child drops their device and breaks the device or screen? 

In the first instance, KGS IT staff will make an initial inspection of the device and advise of the likely cost of repair which will then be added to your fee bill. Your child will then be provided with an identical loan device which they can use for the duration of the repair. All repairs must be carried out through KGS in order to maintain the terms of the warranty. 

3. Is the device insured against loss or damage? 

No – you will have to arrange your own personal insurance to cover loss or damage. This is down to personal preference, but do note that the cost of replacing a damaged screen can be up to £350 when comparing against your policy excess. 

4. What happens to the device at the end of the three-year leasing period? 

At the end of the lease, parents will be given the option to purchase the device outright for a nominal fee. Nevertheless it is likely that students will need a different device as they begin their GCSE studies. 

5. Will my child be able to install programmes and applications onto the device that are not required for school use? 

All the applications that your child will require for use at KGS will be preinstalled. Updates and additional applications will be installed automatically through the management software. Students will not be able to install any other software to prevent any conflicts with the software needed for school work. 

6. Will the device be able to join our WiFi at home? 

Students will have the ability to join any wireless network that is in range. Nevertheless, any internet activity will be subject to the School’s internet filtering policies regardless of whether the device is in school or not. 

All devices are also subject to the School’s internet filtering and monitoring software to ensure that students are not able to access harmful or inappropriate content. While this does mean that your child will not be able to use this device for entertainment purposes, such as streaming digital media content or for gaming, our experience is that students are able to do this on phones or other devices according to the permissions and conditions set by you as parents.

Information Technology and staying safe online 

Each student is given a unique logon and email account which can be used to access all the digital resources available at KGS. Messages from teachers, classwork and homework assignments as well as a huge variety of teaching and learning resources can all be accessed using this account. Additionally, many of these resources can be accessed using apps on a mobile phone.  

Students will be taught how to use the various systems during their first few ICT lessons. Since most of the communication from teachers is managed through email and Microsoft Teams, students are required to check their school email at least once per day although those adding school email details to their phone means they will be able to access email communications instantly. 

It is important that the school network remains safe and secure for the benefit of all students; we therefore reserve the right to access and inspect any file or information on the KGS computer systems if there is a suspicion of misuse. The rules for the use of IT as a member of the KGS community are included in the Student Acceptable Usage Policy, a copy of which students will be asked to sign before they can log onto the KGS network. this policy will be updated over the summer. 

KGS operates a zero-tolerance policy when it comes to unacceptable behaviour online. During the Autumn term, PSHE lessons cover how to stay safe online and rules regarding social media. Students are not allowed to post any photographs in their uniform or reference KGS online.
